How many tickets do you need to sell before a charity gala generates money for the cause? A full house and high ticket revenue do not yet provide an answer. Start with the fixed costs and the costs that grow with every visitor.
A fictional evening with 200 available places
Suppose: the fixed costs are €1,200. An additional €7 is added per guest and the ticket price is €25. These are exclusively example amounts, not rates from Loteraise or an event venue. In this simple calculation, €18 remains per ticket to cover fixed costs and the contribution to the cause.
| Tickets sold | Ticket revenue | Total costs | Left for the cause |
|---|---|---|---|
| 80 | €2,000 | €1,760 | €240 |
| 140 | €3,500 | €2,180 | €1,320 |
| 200 | €5,000 | €2,600 | €2,400 |
In this example, the break-even point lies at 67 paid tickets: €1,200 ÷ €18 is 67 when rounded up. If you want to have €3,000 left for the cause, 234 tickets are needed given the same assumptions. That does not fit in a room with 200 available places. The budget must then change before the start.
Which choices make the plan feasible?
For example, you can lower fixed costs, look for sponsorship for a specific cost item, or re-evaluate the ticket content and price. Also check whether your budget truly contains all costs: technology, payment processing, staff, and any applicable taxes belong in your own calculation. The example above only calculates with the two specified cost components.
A sponsor table is its own ticket product
Describe how many places are included and which extras the buyer receives. Calculate the contribution of such an arrangement separately; do not assume that the full sales price goes to the cause. Record whether the person ordering must provide names and how the group is registered upon arrival.
Translate your budget to sales
Determine how many tickets you actually make available and avoid loose reservation lists alongside the central registration. Keep unpaid reservations separate from sold tickets. Make it clear to guests what is included, when the evening starts, and what the agreements are for changes or cancellations.
Communicate the correct amount afterwards
Only communicate a final yield once the relevant costs and income have been checked. Mention ticket revenue and contribution to the cause separately. Entrance, individual donations, and any lottery ticket sales should also be recognizable separately.
A free entry ticket for a giveaway is also different from access to a charity gala. That first application is covered in the article about free tickets. Would you like to discuss your sales setup? Bring your budget to a meeting with Loteraise.
