Choosing raffle software: 7 questions for associations

When comparing raffle software, you quickly get a list of features. However, a feature on a website does not yet tell you whether your team can work with it. Use this evaluation form during a demonstration. Have the supplier execute your scenario and note what you actually see.

Prepare one fixed practical test

Bring the same example to every conversation: an association with three sales teams, a small group of administrators, and a predetermined prize package. This way, you compare suppliers based on the same situation. Discuss the preconditions of the campaign in advance, including the required draw procedure.

Seven points for your evaluation form

ComponentHave this demonstratedNote
1. Administrative rightsA volunteer only gets access to their own task.Which roles are missing?
2. CorrectionsAn administrator corrects an incorrect email address.Does the change remain verifiable?
3. Team overviewThe coordinator views results per team. What can team members see themselves?
4. Payment reconciliationThe sales overview is compared with the payments received.Who handles discrepancies?
5. ReportingThe data for the closing are exported. Is the format usable?
6. SupportThe supplier explains a malfunction during a sales evening.Who is reachable and when?
7. Total costsA proposal is calculated based on your expected use.Which components cost extra?

Use a simple score

Give each component a 0, 1, or 2: not demonstrated, partially suitable, or suitably demonstrated. Add a short explanation next to the number. “Can only be adjusted by the supplier” is more useful for decision-making than “feels complicated”.

Do not automatically add up all points to choose a winner. Some requirements are decisive. If a necessary export is missing or your team cannot get the correct access rights, a nice sales dashboard does not compensate for that problem.

Compare proposals based on the same assumptions

Send each supplier the same expected number of transactions, the same duration, and the same support question. Ask for a specification of setup, platform use, payment processing, and assistance during the campaign. For the budget of the entire lottery, there is a separate article about the various cost items.

Take two users to the demonstration

Have both the administrator and a volunteer participate. The administrator evaluates overview and control; the volunteer looks at how much explanation daily work requires. Keep their comments with the form and make outstanding questions part of your decision.
